When the spreadsheet stops coping

Every company starts with spreadsheets, and they work up to a point. The trouble starts when two people edit the same version, when nobody knows which file is current, when the process depends on someone remembering to tell someone else, and when finding an error costs hours of checking.

A custom web system solves this by turning the process into software: each person sees what they need, history is recorded, business rules are applied automatically, and information reaches whoever depends on it without a human relay.

The difference from off-the-shelf software is simple: off-the-shelf forces the company to change its process to fit the tool. Custom does the opposite — which is why teams tend to adopt it without resistance.

Who this is for

The scenarios we see most.

📊

Operations running on spreadsheets

The process works, but it depends on shared files, rework and manual checking to avoid mistakes.

📋

Processes with many steps

Approvals, deadlines and owners that currently live in email and chat, with no trace and no visibility.

🤝

Companies with disconnected systems

ERP, CRM, e-commerce and finance that do not talk to each other, forcing somebody to type everything twice.

🏭

Teams that need a client portal

Members, franchisees, partners or customers who need to check data, submit documents or track requests on their own.

What we deliver

A system in production, with the people who use it knowing how.

🔑

Login area and access profiles

Every user sees and does only what their role allows. Secure authentication, SSO where it makes sense, and an audit trail.

💳

Automated business rules

Calculations, validations, deadlines and approvals enforced by the system — not by the memory of whoever is operating it.

📈

Dashboards and reports

The numbers your board asks for, updated on their own, with exports and filters that make sense for your business.

🔄

Integrations

Connections to ERP, CRM, payment gateways, tax systems and any service that exposes an API.

🛡️

Security and data protection

Encryption, access control, backups, operation logs and personal data handling in line with GDPR and LGPD.

🔧

Maintenance and evolution

A system is a living thing: fixes, new features and continuous follow-up after delivery.

How we run the project

Partial deliveries you validate before we move on.

1

Discovery

We map the current process with the people who execute it, not only with those who manage it. This is where the details that break projects surface.

2

Modelling and prototype

Flows, screens and rules validated before coding. Changing a prototype costs a fraction of changing code.

3

Development in cycles

Partial releases in a staging environment, so the team can use them and speak up while there is still time to change.

4

Rollout and training

Data migration, team training and close follow-up during the first weeks of real use.

Technologies and integrations

A mature stack, chosen to last and to be maintainable by another team.

Frequently asked questions about web systems

How much does a custom web system cost?

Cost is driven by process complexity, not by screen count. A system with few screens but many rules and integrations costs more than a large, simple one. We run discovery before quoting precisely so the number matches the real scope.

How long does development take?

A mid-sized system usually takes 3 to 6 months to reach its first production version. We work in partial deliveries, so you start using parts of the system before everything is finished — which also lowers project risk.

Off-the-shelf or custom-built?

If your process is a market standard, off-the-shelf is faster and cheaper — and we will say so. Custom pays off when the process is your competitive edge, when no tool covers the whole flow, or when the combined subscriptions of several tools already exceed the cost of owning your own.

Will it integrate with the ERP and CRM we already use?

Yes, as long as they offer an API or some way to exchange data. We routinely integrate with ERPs, CRMs, payment gateways and tax systems. Where no API exists, we assess alternatives such as scheduled imports or an intermediate database.

Does my company own the code?

Yes. The system is yours, source code and data included. That is in the contract from the start — you are not locked to us in order to keep evolving what you already paid for.

Who maintains it after delivery?

We offer a maintenance and evolution contract, which is what most of our clients choose. You can also take it in-house: we hand over documentation and organised code precisely so that option genuinely exists.

Shall we look at your process?

Tell us how it works today and we will show what can be automated, how long it takes and in what order.
